Description

Office Administrator
The Office Administrator is responsible for providing secretarial, administrative and reception support to the Sun Country office. Must be a motivated individual willing to learn new tasks. Possesses basic offi ce knowledge (i.e. computers, fi ling etc.) willing to provide training to the right person. Able to work as a team as well as independently. Strong time management skills. Basic bookkeeping knowledge an asset but not a requirement.

Job Description -
Office Administrator
Performs all duties and responsibilities in accordance with Community Futures Sun Country policies, standards, regulations and procedures and as directed by the General Manager.
Attends and participates in meetings of administration.
Attends meetings of the Board upon request of the General Manager (evenings/ weekends).
Attends training programs and workshops as directed and/ or approved by the General Manager (evenings/ weekends).
Maintains confidentiality on all client, program, office and corporate information and correspondence.
Receives and directs incoming telephone calls and records stats.
Warmly welcomes and directs all visiting clients and other guests.
Receives, dates, records and distributes incoming mail and processes outgoing mail.
Organizes and tidies the reception area and board room.
Maintains an inventory of program information for clients.
Provides information, assistance and general support to clients.
Assists clients with sending faxes, photocopying, scanning & laminating.
Provides assistance in scheduling of client appointments.
Assists in the preparation of client training material.

Maintains the office equipment, schedules equipment service and repair.
Provides office administration support to the CF office.
Maintains an inventory of office supplies and forms, orders new supplies with General Manager’s approval.
Assists in the development and distribution of the Board meeting agendas.
Uploads agenda documents into the Community Futures Sun Country website - member login.
Maintains the company website ensuring it is accurate and up to date including the member login section.
Confirms attendance of Board Directors for meetings.
Assists in the research of information and compiles statistics.
Maintains and updates phone system when required.
Responsible for compiling and posting social media posts (Facebook, Instagram, Twitter & LinkedIn).
Compile posters for events.
Performs other duties and responsibilities as directed by the General Manager.
Compensation range $18-$21/hr depending on experience.
